Guidelines

Guideline 1: PDF requirements

SACharts maintains very high quality standards. If the arranger/owner of the work does their own conversion to PDF, the following standards must be met:

  1. All the relevant pages for the chart must be included in one continuous logical file.
  2. The file may not be password protected or otherwise encrypted. SACharts guarantees the security of the files once they have been received.
  3. The quality of the document must be at least 300 dpi.
  4. The document will be prepared in black-and-white.
  5. The page size of the document will be A4. (Conductors' scores may be A3)
  6. Composer/Arranger's notes MUST accompany the chart, as well as an abstract where applicable. These may be brief, but must be complete. Both the chart and writer's notes should be dated with their respective dates of completion.

Guideline 2: score requirements

For the following typical orchestrations, the required parts and scores are listed which must be supplied to SACharts. For an unusual or unlisted orchestration, the requirements must be negotiated with SACharts for every chart. Please note that all playability and range checking must be done by the orchestrator. If there are complaints about errors in any part, it will be removed from distribution immediately until the corrected version is supplied to SACharts at the cost of the chart's owner.

Please consult the SACharts online guide to notation and engraving, especially for drum parts and layout in general. If you would like your engraving done for you, please contact one of the SACharts-endorsed engraving experts, who will prepare your chart for you (NB this is a private transaction and is not considered business with SACharts).

  1. Piano solo or any other individual solo (i.e. no other instruments): Just the single part, with great attention paid to beat spacing.
  2. Piano duet: Both parts printed separately with perfect beat spacing.
  3. Other duet or accompanied solo: If a piano exists (or guitar or drums etc are used in an accompaniment capacity), the other part must appear as a third stave ABOVE the piano/accompaniment stave. For the other part, or for both parts in the case where no piano/accompaniment is used, each part must be laid out individually.
  4. Trio, Quartet or any other small combo: each part (transposed) plus full conductor's score (with parts transposed i.e. NOT concert pitch).
  5. Big Band: each part (transposed) plus full conductor's score (with parts transposed i.e. NOT concert pitch).
  6. Orchestra (chamber, wind, symphonic or philharmonic): each part (transposed) plus full conductor's score (with parts transposed i.e. NOT concert pitch). Viola parts must be transposed into the treble clef and copied as Violin III, with suggested substitutions or rests for out-of-range notes. Euphonium/Baritone horn parts must be printed at concert pitch in the bass clef as well as at Bb transposition in the treble clef.

Please note:

  1. Appropriate rehearsal marks must appear in the chart in both the score and parts.
  2. When a solo section occurs in a chart, the chords must appear at the relevant transposition at the correct place in the part, or a separate page must be provided with the chords transposed for concert pitch, Bb and Eb instruments.
  3. Lyrics and directions in parts must be laid out legibly and visibly. See the online notation and engraving guide.
